How do I export all of my HOLLIS search results?
There is no option to select or export all of your results. Instead, HOLLIS allows you to select a large number of items and then export them to Excel, .RIS, or .BibTeX. Additionally, current affiliates have an option to bulk-export the first 5,000 results.
Select all items on the page
To display your export options, use the checkbox at the top of your results list to select all items in the first page of results. By default, “0 selected” will display.
Option 1: export 5,000 results
- This option will display after you select all items on the page.
- You must be a current affiliate to use this option: if you are not already signed in you will be taken to a HarvardKey sign in page.
- You can choose the export format (CSV, Excel, RIS, BibTeX) and the email address where you would like to receive the file.
- HOLLIS will export the first 5,000 Catalog results and the first 5,000 Articles results. If you are in "Catalog & Articles," you may receive up to 10,000 results.
- You may notice some small differences between the exported file and your HOLLIS results list:
- Results may be in a slightly different order, especially if you are exporting from Catalog & Articles
- The count of total results may be vary, due to record clustering in the HOLLIS results list
Option 2: select results to export
Alternatively, you can hand-select a large number of results and then export them.
- You may select up to 2,000 results, page by page
- Use the checkbox at the top of the list to select all results on that page. You can also select or unselect individual records.
- Options to navigate to the next page are at the bottom of the results list.
- To export, select the action options for your results list. This option displays as three horizontal dots at the very top of your results list.
- Available export methods include: Excel/CSV, Email message, RIS, BibTeX.
- Reserves List: this export option allows course instructors to export results to their Canvas Reserves list. Select "Reserves List" and then choose the relevant course from the "list" drop-down menu.

Additional methods for exporting large lists of items
- Save the search. This method allows you to return to your results set at any time, via the “My Favorites” menu. When you return to the search, your results may include additional items that have been added to HOLLIS since you last checked.
- Add items to “My Favorites” before exporting. Make sure you are signed in to HOLLIS: if you are not signed in, your “favorites” will clear when you close the window. This method allows you to build a large list in batches.
- In “My Favorites,” the checkbox at the top of a list selects all items in the entire list. (This is different from the checkbox at the top of HOLLIS results, which selects only the items currently displayed on the page.)
- “Tags” can help you keep your export list separate from any other pinned items.
- Find additional info about "My Favorites" on the HOLLIS User Guide
- Export to a reference manager, such as Zotero. A reference manager is separate software you can install to capture citations from HOLLIS and elsewhere. This method gives you extra flexibility and better options for converting your list into a properly formatted bibliography.
- Visit Getting Started with Zotero for more on installing and using Zotero
- Use the Library Cloud API (requires some programming knowledge).
